TEACHERS AND EVENT HOSTS:
New York City has an extremely nice, cooperative, and surprisingly mutually-supportive community of West Coast Swing teachers and event hosts. We think it's about time NYC has a great, easy, consolidated West Coast Swing calendar to go along with that! Don't you agree? So we built one! If you are a regular NYC WCS teacher or event host, please post all your NYC WCS classes, workshops, and dance events.
QUICK SUMMARY
(1) Talk to Ken for permission to join and agree to all the OBVIOUS & EASY RULES (below), and pay $10/year. We all do that to defray costs of this web site.
(2) Once Ken has added you, log in to your Gmail, go to your Google Calendars page, look in the left column under "Other calendars." Find your 2 NYC WCS sub-calendars. Edit these, click save. Everything will appear immediately on this web site.
(3) Format things perfectly:
Social dances: Format them in ALL CAPS LIKE THIS. Add them only to your "SOCIAL DANCES" calendar.
Classes & workshops: Format them in Normal type like this, never in all caps. Add them only to your "Classes & Workshops" calendar.
(4) Don't screw up, please. It's REALLY easy to put an event on the wrong sub-calendar. Don't! And please always follow the formatting rules.
Thanks!
FULL DETAILS, RULES, and HOW-TO TIPS
VOCABULARY NOTE: "Calendars" vs "sub-calendars."
Software companies refer to everything as "calendars" — both the main consolidated thing we look at, and all the sub-calendars (aka calendar layers) that we actually edit. Very confusing. I'll use "sub-calendars" here for the things we edit. It's a bit awkward; sorry about that.
HOW IT WORKS
We created 2 personal sub-calendars for each of you — 1 sub-calendar for your classes & workshops, and 1 sub-calendar for any social dances you run. You edit and update them whenever you want — they automatically load directly to the main calendars on this web site — which the public can see!
You do all updating from your own Google Calendar page on your own computer (or any computer, actually), where your 2 sub-calendars will magically appear once Ken does a little backend magic. No other logins or passwords or anything needed. Ultra convenient!
Paula and Ken will retain admin superpowers to maintain the site. We won't touch anyone's listings, except to delete inappropriate or duplicate items. (We hope that's never needed.)
OBVIOUS & EASY RULES
1. You can ONLY list West Coast Swing stuff that is happening within New York City's city limits. We want to keep this sweet and focused!
2. You must agree to list your social dances on one sub-calendar, and your classes and workshops on a separate sub-calendar. Format SOCIAL DANCE IN ALL CAPS LIKE THIS. Format classes & workshops in regular type, not-all-caps like this. Thanks.
3. Web sites don't cost much, but they cost time and money to maintain. We'll ask you to share proportionally ($10/year) before we blend in your listings. Thanks.
4. To be added to the list of folks who can add stuff to this consolidated calendar, talk to Ken in person at Westie Cafe. Pay your $10/year. Then, as soon as Ken flips a few switches and emails you, list all your NYC WCS stuff!
WHY 2 SEPARATE SUB-CALENDARS?
Because our goal is to make it fast and easy for the public. This way, everything propagates instantly and automatically into the correct "SOCIAL DANCES (PARTIES)" or "Classes & Workshops" pages, and it all comes together automatically for the "Everything" page! So nice! But it does require a bit of extra carefulness on our part. It's worth it.
HERE'S A STEP-BY-STEP "HOW TO" ONCE KEN HAS ADDED YOU
(1) On any computer, login to your Gmail. (TIP: Open a new browser window for that, so you can read this page at the same time.)
(2) Click on the Google Apps icon (9 tiny black squares at top), and choose Calendar (icon with "31" in it and the word "Calendar" under it).
(3) You're now in your own Google Calendar. Look near the bottom of the left column, under "Other calendars." Admire your 2 personal NYC WCS sub-calendars! You're in! Yes, you do all updating from your own Google Calendar page. Ultra convenient!
(4) Enter all your social dances, classes, and workshops! Hit SAVE for each one. Make sure your events are on the correct sub-calendar.
READ AND PROMISE TO USE THE FORMATTING RULES BELOW for all posting!
(5) After clicking SAVE, go to NYCWCS.com and check all three main pages to make sure everything appears in the right places.
TIP: If you are unfamiliar with Google Calendar: To create a new item in the correct sub-calendar, there are many confusing methods. We strongly recommend Method #1!
Method #1 - SIMPLE & FOOLPROOF: In your Google Calendar, hover your mouse over the correct sub-calendar's name in the left column, and click on the little down-arrow that appears on the right side of the name. Choose "Create event on this calendar." Enter all your event's info. Click the red SAVE button at the top.
FORMATTING RULES (MANDATORY)
• SOCIAL DANCES (PARTIES): IN ALL CAPS LIKE THIS. And they must be created on your SOCIAL DANCES sub-calendar!
• Classes & Workshops: Normal upper and lower case like this. Not in all caps. And be sure you create them on your CLASSES & WORKSHOPS sub-calendar!
Include your name in parentheses! For every class or workshop, we recommend putting your name (or brand name) in parentheses after it.
Example: An amazing WCS workshop (Paula & Ken)
• In the event's "Description" box: Please include a URL to full information and how to contact you! And whatever else will help people find you and entice them to come. Be tempting. Very tempting.
IMMEDIATELY after you update: Be sure to check all 3 calendar views (pages) on this web site! (Refresh the pages.) Make sure your updates appear where you want ... and not where you don't want! And make sure you haven't accidentally posted your private stuff on this very public calendar! (We already had that happen once.)
- As we all know, it's amazingly easy to create events on the wrong sub-calendar. CONSTANT VIGILANCE! Be super-careful about which sub-calendar for every posting. (We've already had a few errors.)
FINE PRINT:
• The "owner" of the event has priority for listing it. When in doubt, the owner is the person who pays the rent for the space.
• Paula and Ken will retain admin superpowers to maintain the site. We won't touch your calendars, except to delete inappropriate or duplicate postings. (We hope that's never needed.)
• Special note: this complicated distributed-then-consolidated-then-embedded calendaring is new to me (Ken), and is not well documented at google, so please be patient as we solve all the different ways things can go wrong. Thanks!
Happy Calendaring!
Ken & Paula
P.S. If you notice any bugs, or have any suggestions for improving the web site, please email or talk to Ken. Thanks.
